Front Desk Student Assistant

The Center for Student Involvement (CSI) will be hiring Front Desk Student Staff for the 2022-2023 school year. Under the supervision of the Office Coordinator, provide advising services to Registered Student Organizations (RSOs) regarding student organization support services, AggieLife student organization management platform, student organization registration,fundraising, and navigating campus policies and procedures. Front Desk Student Staff perform various administrative duties for the multiple programs within CSI. DACAmented students are eligible and encouraged to apply. Customer service is a significant responsibility of this position and requires cooperative teamwork. Front Desk Student Staff provide administrative support in a high traffic reception area, answer telephone calls and respond to emails, screen and process department and program forms, distribute mail, and maintain a filing system for 800+ student organizations. The students that fill this position may help create and maintain graphs, charts, and spreadsheets. Work study and DACA recipients are encouraged to apply. The person in this position will be required to follow all COVID-19 campus guidelines.

Duties and Responsibilities:

  • Customer Service: Support students by providing advising services regarding support services, registering student organizations, fundraising,and navigating campus policies and procedures.Take initiative to provide appropriate answers to student organization questions and look for ways to go above and beyondday to day duties.Answer questions regarding student organizations, CSI programs, and campus policies and procedures accurately. Interact with students and community members that walk into, call, or email the CSI office. Provide advice to students as they navigate campus policies and being an officer for student organizations.
  • Administrative Duties: Regularly process numerous forms on AggieLife, online student org management platform. Follow up with student organizations regarding incomplete or incorrect submissions Collect and record data as student organizations complete different processes. Data entry and analysis in Excel
  • Other Duties: Carry out other duties as assigned that support CSI programs and services. CSI Student Staff may be scheduled to work on center wide events like: Davis Dance Revolution, CSI Leadership Awards, Memorial Union Open House, Involvement Fair, etc.

Job Qualifications and Requirements:

  • Expected to be provide front desk coverage during lunch hour for entire year.
  • Expected to have knowledge of and/or the ability to learn about campus policies and procedures.
  • Must have strong administrative skills and be able to work on the computer for long periods of time.
  • Must have excellent written and oral communication required for answering questions and clarifying policies.
  • Must be reliable and self-motivated.
  • Detail orientated.
  • Able to work independently or as a team under deadline pressure is required.
  • Able to maintain strict confidentiality and exercise discretion and sound judgment.
  • Must be registered UC Davis student in good academic standing (2.0) and maintain this status while employed with CSI. Cumulative GPA will be confirmed following each quarter.
  • Able to attend quarterly staff in-service trainings on the first Tuesday of each month at 12pm while school is in session.

Involvement Mentor

Center for Student Involvement will be hiring 1 Involvement Mentor for the 2022-2023 school year. Under the supervision of the Education and Involvement Specialist, Involvement Mentors will support students as they develop as leaders and/or find involvement opportunities on campus. They will do this through facilitating workshops, having office hours for advising, and going to outreach events. To be successful in his position, candidates should have experience as a leader on campus, the ability to work independently, and strong communication skills. Work study and DACA recipients are encouraged to apply.

The person in this position will be required to follow all COVID-19 campus guidelines. 

Duties and Responsibilities:

Leadership Development Support

  • Develop and facilitate original workshops covering various leadership and organizational management topics.
  • Update and create online resources, handouts about leadership, and organizational management topics.
  • Skills in program development to enhance student engagement.

Involvement Coaching

  • Give guidance to students looking to get involved on campus.
  • Provide advice to students as they navigate campus policies and being an officer for student organizations.
  • Process forms (Involvement Calculator) to help connect students with organizations they might be interested in.

Outreach:

  • Connect with current and incoming students to promote CSI services and programs at on-campus outreach events.
  • Clearly articulate the benefits of being involved in student organizations.
  • Help, plan, market, run, and assess CSI and campus wide events.

Other Duties:

  • Carry out other duties as assigned that support CSI programs and services.
  • May be scheduled to work on center wide events like: Davis Dance Revolution, CSI Organization Awards, MU Open House, Involvement Fair, Resource Fair, etc.

Job Qualifications and Requirements:

  • Be able to attend student staff meeting fall training Monday, September 12- Friday, September 16, 2022 from 9am-5pm.

Media and Publicity Student Assissant

The Center for Student Involvement (CSI) will be hiring a Media & Publicity Student Assistant for the 2022-2023 school year. Under the supervision of Reservations and Digital Communication Specialist, the student will support the Center for Student Involvement’s marketing and advertising efforts while also serving as an ambassador for the office. The Media and Publicity Assistant will create graphics to promote CSI events, program, and services, coordinate CSI social media accounts, and assist with website maintenance. This position will also document CSI events via photography and videography. Events include but are not limited to The Involvement Fair, Go Ags! Go Greek!, CSI Open House, and Davis Dance Revolution.

Work study and DACA recipients are eligible and encouraged to apply. The person in this position will be required to follow all COVID-19 guidelines.

Duties and Responsibilities:

  • The Center for Student Involvement is looking for candidates with graphic design, social media, video production, photography and WordPress experience. Involvement in Registered Student Organizations is not required.

  • Good organizational skills in Illustrator (naming/grouping layers)
  • Website Maintenance
  • Maintain, update, and further develop the existing Center for Student Involvement website. No coding knowledge required.
  • Ensure the format and design of the website is consistent.
  • Photography and/or Videography
  • Capture, edit, and publish photographs of Center for Student Involvement and Registered Student Organization events.
  • Produce videos for CSI from pre-production to post-production and publishing.
  • Create YouTube tutorial videos and videos to promote Center for Student Involvement programs and campaigns.
  • Preferred: Adobe After Effects Knowledge/Motion Graphics

Reservations Student Assisant

The Center for Student Involvement (CSI) will be hiring a Reservations Student Assistant for the 2022-2023 school year. Under the supervision of Reservations and Digital Communication Specialist, this student position supports administrative functions, including processing reservations and data entry, reports and compliance, and the event submissions on AggieLife. The Reservations Assistant is versed in all applicable policies and procedures for Registered Student Organization reservations and is able to maintain all aspects of reservation/event related information, including inquiries, contacts, logistics, reporting, and accounting.

Duties and Responsibilities:

  • Reservation Processing & Data Entry
  • Maintains reservation request tracking system in terms of processing new reservations, altering current reservations, and referencing previous reservations.
  • Follows up on tentative reservations to collect incomplete, updated, and or final event details.
  • Conducts peer to peer event planning meetings with student clients to discuss event details and logistics.
  • Ensures proper approval documents and processes for events are communicated to student organizations during planning process and maintained via tracking system in advance of events.
  • Assists the Reservations and Digital Communication Specialist to ensure that relevant policies are known to reservers and are adhered to.
  • Capable of communicating policies and standards of conduct to effectively express expectations and problems to student organizations using the facilities.
  • Clerical & Financial Support
  • Assists staff in scheduling appointments for logistics meetings and/or follow-ups with student organizations and appropriate full-time personnel.
  • Produces daily, weekly and/or monthly reports of reservation requests, room use, etc.
  • Verifies appropriate funds to prevent overdraft agency accounts.
  • Maintain and Update event submissions on AggieLife.
  • Verify and approve events align with reservations.
  • Produces and writes content for monthly newsletter reports.
  • Updates content on Reservations website.
  • Produces and presents training workshops for Authorized Reservers.
  • Performs other duties as assigned to ensure the success of all Center for Student Involvement programs.
  • CSI Student Staff may be scheduled to work on center-wide events like: Davis Dance Revolution, CSI Leadership Awards, Memorial Union Open House, Involvement Fair, etc.

Social Media Student Assistant

The Center for Student Involvement (CSI) will be hiring a Social Media Student Assistant for the 2022-2023 school year. Under the supervision of Reservations and Digital Communication Specialist, the student will support the Center for Student Involvement’s marketing and advertising efforts while also serving as an ambassador for the office. The Social Media Assistant will create graphics for CSI social media accounts, and coordinate posts for each platform. This position will also document CSI events via photography and videography. Events include but are not limited to The Involvement Fair, Go Ags! Go Greek!, CSI Open House, and Davis Dance Revolution. Applicants will be asked to share videos/graphics they’ve created and used on social media platforms they have managed, as well as social media marketing plans/strategies that they have utilized in the past.

Sorority and Fraternity Student Assistant

Under the supervision of the Sorority & Fraternity Life Coordinator, the Sorority & Fraternity Life Student Assistant (SFLA), serves as a resource person to both students and staff in order to meet the goals of the Center for Student Involvement and Sorority and Fraternity Life department. The SFLA promotes sorority and fraternity life to interested non-affiliated students, families, and the surrounding Davis community and helps existing recognized sororities and fraternities with marketing, event planning and facility reservations, AggieLife (online student organization management system), recruitment and navigating campus policies and procedures. The SFLA will primarily assist with the daily administrative operations of Sorority and Fraternity Life. Customer service is a significant responsibility of this position and requires cooperative teamwork. The SFLA provides administrative support in a high traffic reception area, answer a telephone, screen and process department and program forms, distribute mail, and maintain filing system for the 59 SFL organizations and the 800+ student organizations within CSI. The students that fill this position may help create and maintain graphs, charts, and spreadsheets. Students should be involved with sorority or fraternities on campus.

Duties and Responsibilities:

Customer Service:

  • Support SFL organizations by providing support services, leadership development, event planning, registering student organization registration, fundraising and financial management, and navigating campus policies and procedures.

  • Answer questions regarding student organizations, CSI or SFL programs, and campus policies and procedures accurately.

  • Interact with students and community members that walk into, call, or email the CSI/SFL office.

Administrative Duties:

  • Regularly process numerous forms on Campus Groups.

  • Assists with collection and creation of administrative reports created by the Sorority and Fraternity Life Office including but not limited to updating rosters and Sorority and Fraternity Life annual reports.

  • Develops advertising, marketing, and promotional material in a variety of different media to encourage non-affiliated new and continuing students to become involved in the campus sorority and fraternity community.

  • Keeps the sorority and fraternity community informed of leadership, professional, and philanthropic opportunities.

Outreach and Event Support:

  • Connect with current and incoming students to promote SFL services and programs at on-campus outreach events.

  • Clearly articulate the benefits of being involved in sorority and fraternity life.

  • Help market, run, and assess events including but not limited to SFL New Member Education, Sexual Violence Education Programs, Quarterly Presidents Meetings, Panhellenic Primary Recruitment, IFC Recruitment Week, Black Greek 101, USFC Showcase, Post-Picnic Day Clean Up, and Standards of Excellence Awards.

Other Duties:

  • Carry out other duties as assigned that support SFL and/or CSI programs and services.

Job Qualifications and Requirements:

  • A registered UC Davis student in good academic standing (2.5 GPA).

  • At least 45 units completed (sophomore standing) preferred, prior to assuming the SFLA position.

  • Expected to have knowledge of and/or the ability to learn about a diverse sorority & fraternity community which consists of 6 councils and 59 organizations, campus policies and procedures.

  • Have strong administrative skills and be able to work on the computer for long periods of time.

  • Have excellent written and oral communication required for answering questions and clarifying policies.

  • Proficient in Microsoft Office, AggieLife, Google Drive etc.

  • Must be a member of a sorority or fraternity that is a Registered Student Organization with the Center for Student Involvement at UC Davis for the 2022-23 Academic Year.

  • Able to work independently or as a team under deadline pressure is required.

  • Be reliable, self-motivated with ability to pay attention to detail and stay organized.

  • Able to maintain strict confidentiality and exercise discretion and sound judgment.

  • From the time of offer, must be in good academic and discipline standing with the University, sorority or fraternity organization and Student Judicial Affairs. Any future violations may result in withdrawal of offer and/or termination of employment.
